Uploading vaccinations given by other providers

We would like to thank you for all your hard work this winter season as you deliver various immunisation programmes to help build immunity against vaccine preventable diseases. We would like to remind practices that there remains the need for notifications of vaccinations given by other providers to be manually coded and uploaded onto the patient record by the patient’s practice. 

All vaccinations given by any provider contribute to the official data that is published periodically. If practices do not record the information on the patient’s clinical record, the official data will not be accurate and could under-report total coverage, as often, the data to inform official statistics is extracted directly from the GP system. Moreover, the practice will not know if the patient has been vaccinated, thereby increasing the risk of clinical incidents and creating challenges when planning for national call/recall catch-up campaigns.

The recent introduction of two new systems for automating the recording of school-age flu (NIVS) and the four maternity immunisations (RAVS) has hopefully greatly reduced the number of vaccinations that need to be manually uploaded.

Currently, vaccinations delivered by the Children and Young People’s Community Immunisation Services (CYPCIS) providers i.e. neonatal BCG and the other school-aged immunisation programmes (MenACWY, Td/IPV or 3-in-1 teenage booster, HPV, and MMR catch-up vaccines) are not yet able to be automatically uploaded to the patient record. Therefore, these vaccination records are sent by the providers to the GP practice generic email address regularly, for manual upload. For ease, the two providers of these programmes across London are Vaccination UK serving NWL, NCL and NEL, and Kingston and Richmond NHS Foundation Trust (KRNFT) serving SWL and SEL.
