Fake invoice supplier fraud

We have been notified of a recent and concerning development related to fake invoice supplier fraud, specifically using the Sage accounting platform.

Fraudsters have been exploiting Sage to create bogus companies, register accounts, and send fictitious invoices for office supplies or medical consumables, such as printer toners. These fraudulent invoices often appear genuine, making it crucial for all GP practices to exercise increased vigilance.

To prevent any potential loss, please ensure that any invoice received via Sage is scrutinised with the same level of care as any other invoice. Authorisation and payment should only be made if it is confirmed that the goods or services were indeed requested and received. Here are some key points to keep in mind:

1. Always verify invoices against information already held on file for the supplier.

2. Reconcile invoices with purchase orders, booking confirmations, and records of goods or services received.

3. Be on the lookout for unprofessional formatting, spelling or grammatical errors, discrepancies, unusual amounts, or an unusual level of urgency.

4. Ensure supplier information such as trading name, logo, invoicing address, contact details, and bank account details match those on file and belong to a legitimate company.

5. Avoid using contact details provided on the invoice to reach out to the supplier.

If you notice any suspicious activity or receive any questionable invoices, please do not hesitate to notify our counter fraud provider immediately RSM. Your vigilance and cooperation are essential in combating this fraudulent activity and protecting our resources.
