CQRS extractions for maternal pertussis, maternal RSV and maternal flu

Nationally, we’re aware of a coding issue for those vaccinations in pregnancy given by ‘other providers’, which may result in CQRS being unable to extract accurate GP activity for these vaccinations for payment purposes. Teams are investigating this issue and will provide further details shortly.

This is a possible national issue with the Acute Trust vaccination PoC System, RAVS (Record a Vaccination), affecting maternal Pertussis, maternal RSV and possibly maternal flu programmes. This is being investigated.

Midwives and hospitals are correctly entering vaccinations they have given to pregnant women onto the RAVs system. However, it seems that when the data electronically flows to the GP IT system, the coding does not seem to identify that the activity has been undertaken by ‘another provider’.  This means that CQRS cannot distinguish in the GPIT system between maternal vaccines given by the GP practice and maternal vaccines given by other providers. This means that CQRS automated extraction will extract ALL activity done, which includes activity done by ‘other provider’.

For the moment therefore, practices should manually review and correct their CQRS automatic extraction declarations to ensure there are no incorrect CQRS payments made, while the RAVS system continues to investigate and resolve the issue. We are extremely sorry for the inconvenience this causes and appreciate the time it will take practices to review these.

Practices will therefore need to check their CQRS automatic extraction declarations before submission for maternal pertussis, maternal seasonal flu and RSV Pregnant Women (manual submission). Region will not be able to authorise the Sept and Oct 24 achievement claims for these three programmes until the practice confirms that a manual review and adjustment has been made.  Only items with a £0 monetary value will be automatically approved.

Actions:

  • Sept 24 and Oct 24 CQRS achievement for Pertussis, RSV Pregnant Women and Seasonal Flu (pregnant women) will need to be checked against the patient record to determine where the vaccination was given.  Please still carry out the usual monthly checks to make sure other data is correct within the flu programme.
  • Ideally update system coding as appropriate using “other healthcare provider” SNOMED code 956971000000108.
  • Contact the London Imms Team at england.londonimms@nhs.net to either confirm that the CQRS extraction has been validated against the patient record and is correct or advise which programme/month needs to be amended.

Once an item has been verified as correct or an adjustment has been made, a note will be added to the item to confirm that it can be approved for payment.
